CHALLENGES
At Orthopaedic Specialists of North Carolina (OrthoNC), MAs set surgery dates with their patients and faxed over large batches of worksheets to the scheduling department the next day. Schedulers then entered information manually into the PM system and continued a paper-intensive scheduling process. Although the OrthoNC team had developed a satisfactory workflow, the result was inefficient scheduling, wasted block-time, and avoidable cancellations.

In 2014, OrthoNC implemented Surgimate to improve efficiency and reduce cancellations. After upgrading to the Surgimate Practice cloud system in 2018, OrthoNC gained even greater versatility with scheduling surgeries. Staff can now work anytime, anywhere as long as they have an internet connection. The athenahealth API also provides a more streamlined integration, including bringing over the surgical order. Through Surgimate’s tracking features, task management has improved and all staff share one collaborative workflow. Since staff spend less time on manual work, schedulers now meet face-to-face with patients and are able to guide them through the process.
